The Transaction Coordinator is responsible to foster referrals during the transaction by providing extraordinary client care. Additional responsibilities include managing paperwork, important dates and ensuring no details fall through the cracks.  It is always advisable to use a third part Transaction Coordinator until the team hits a tipping point where it is financially beneficial to bring them in house.

 

TC Job Description Responsibilities:

Support to Clients
  • Congratulations letter and introduction to client after contract is signed
  • Ongoing Weekly Status Updates to Clients and Agents
  • All correspondence preparation on behalf of Agent
  • All document transmittals to obtain fully executed documents
  • Forwarding Documents for Broker File
  • Providing Lender with Contact and Escrow Information
  • Tracking Progress of Loan to include Appraisal, Loan Documents and Funding
  • Escrow Instruction Delivery to Clients
  • Ordering and Confirming Third Party Inspections and Termite Inspections
  • Review of Inspection Reports and Discussion with Agent
  • Ordering Home Warranty Plans
  • Review of Preliminary Title Reports
  • Ordering Zone Disclosures/Mello Roos Reports
  • Scheduling and Confirmation for Final Walk Through Inspections
  • Providing Agent and Broker with complete and compliant files upon Close of Escrow
  • Ensuring that Closing Statements and Commission Checks are delivered to Broker in a timely manner
  • Closing Follow-up letter
Support to Team
  • Client Party Assistance
  • Assist Buyer and Seller Seminars
  • Assist Investor Seminars
  • Cross market and endorse the team at every opportunity
  • Contribute business building ideas to the team
  • Monthly risk management updates to team
