Sample Agent Resignation Letter

A resignation letter should make a business change clear while giving the brokerage and the agent a clean starting point for the handoff. Keep it dated, direct and respectful. Name the intended final day, confirm the decision in writing and offer a practical path for returning property, transferring records and protecting client continuity.

Include the essentials

  • The date and the recipient’s name or role.
  • A clear statement that the agent is resigning.
  • The proposed effective date, subject to the agreement that governs the relationship.
  • A concise expression of appreciation or respect where it is appropriate.
  • Specific handoff items: active clients, appointments, files, keys, devices, access and outstanding obligations.
  • A contact method for resolving open details during the transition.

Use a calm structure

The letter should stand on its own and avoid turning a formal notice into a negotiation. State what is decided, what still needs coordination and who will own each next step. Keep client names and confidential transaction details out of the letter unless the recipient’s approved process requires them.

[Date]

Dear [Broker or Manager],

Please accept this letter as notice of my resignation from [brokerage or team], effective [date], subject to the terms of our agreement.

I appreciate the opportunity to work with the organization. I will coordinate the transition of active matters, return company property and complete the agreed handoff before my final day.

Please let me know the preferred process for records, access and outstanding client or transaction items. I can be reached at [contact information] during the transition.

Respectfully,
[Agent name]

Close the loop

  1. Confirm receipt of the letter and the effective date.
  2. List the handoff owner for each active client or transaction.
  3. Return property and remove access according to the brokerage’s process.
  4. Record the final open items and the date they will be checked.

A considerate resignation letter creates a reliable record and leaves the operational details ready for a separate transition conversation.
