Team Assistant Job Description

A team assistant role supports the work that keeps a real estate practice organized and responsive. A clear job description defines recurring work, boundaries, experience and the relationship with the team. Use it to align expectations before hiring.

Team Assistant Position Responsibilities

Group the work into client support, team coordination, marketing administration and office operations. State which decisions the assistant can make, which information is confidential and how questions should be escalated.

Responsibilities to Clients & Team

  • Create and send approved mailings as needed.
  • Update online listings or social posts and record the work completed.
  • Collect feedback from agent showings and route it to the right owner.
  • Assemble client gifts and prepare future listing files.
  • Maintain team website updates and pre-listing packages.
  • Make weekly check-in calls for listing needs using the team’s approved script.
  • Coordinate with approved marketing vendors and attend the weekly team meeting.
  • Handle agreed errands and administrative follow-up.

Experience Required

  • Real estate or other administrative experience relevant to the role.
  • Comfort with approved computer systems and website updates.
  • Clear phone and written communication.
  • Customer-service judgment and careful record keeping.
  • Organization, self-direction and the ability to manage several priorities.
  • A calm approach to changing requests and appropriate escalation.

Describe the schedule, response windows, training, supervision and decision boundaries the team can actually support. Set the employment arrangement and pay range with current local requirements and appropriate professional guidance. Review the description with the people who will train and work with the assistant before publishing it.
